This policy explains how Cultrans (Kuncheng, “we”) handles personal information when receiving conference service inquiries through cultrans.cn and communicating with you about them. Please use the contact details below for questions about this policy or your information.
1. Information we collect
- Required information: conference city, contact name, and phone number or WeChat contact. These details help us understand the service location and respond to you.
- Information you choose to provide: service requirements (multiple selections), conference date, attendance and languages. The date, attendance and language fields may be left blank.
- Information saved with the inquiry: source page URL, page title, page identifier, page language, submission time, consent status, and UTM parameters actually present in the source URL (utm_source, utm_medium, utm_campaign, utm_term, utm_content and utm_id). This identifies the service page and source associated with your inquiry.
- Basic anti-spam information: the component processes verification tokens, signatures and issue times, and uses a keyed digest of the connection’s source IP address to limit excessive requests. Raw IP addresses are not stored in the inquiry fields. A request identifier is saved with the inquiry to detect duplicate submissions. A separate anti-spam field is not intended to be completed by normal visitors.
The current form no longer offers a notes field. Supplementary text previously submitted and still held in earlier inquiries is handled for the same purposes and under the same retention rules. Please provide only information relevant to your conference and avoid unrelated sensitive personal information.
2. Why we use the information
We use this information to respond to conference service inquiries, prepare conference technology proposals, clarify project requirements with you, retain necessary inquiry records, and protect the form against spam and duplicate submissions. The form cannot be submitted without the required information and consent to this policy. You may still contact us by phone or email.
3. Records and processing providers
Submissions are saved as private inquiry records in the WordPress administration system. They are not published as web pages, public search results or public inquiry API content. Access to view and manage the records is restricted to accounts with administrative privileges.
Alibaba Cloud DirectMail sends inquiry notifications to our internal business mailbox, kunchengguoji@foxmail.com. DirectMail and the Foxmail mailbox service process the relevant email contents for transmission, receipt and storage. Notifications include your submitted inquiry and source information; the duplicate-prevention request token is excluded from the message body. Using these email services does not publish the inquiry records.
The system saves the record before attempting to send the notification. A notification failure does not cancel the saved inquiry, which can still be handled in the administration system.
4. Retention and security
We retain information for the period needed to handle inquiries, maintain business contact and meet necessary compliance purposes. The current inquiry component has no fixed automatic deletion period. Administration records and notification emails may be stored separately. When handling a deletion request, we will consider the relevant records and emails and any applicable requirement to retain information.
The website uses HTTPS for form transmission and an encrypted connection for email delivery. Administration access is restricted, and request verification and rate limits remain in place. Please protect your own contact and communication accounts. No method of online transmission or storage can guarantee absolute security.
5. Access, correction, deletion and other rights
You may contact us to access or request a copy of your inquiry information, correct inaccuracies, request deletion or restriction of processing, or withdraw your earlier consent. To avoid disclosing information to an unrelated person, we may verify the contact details used in the original inquiry and necessary identifying details of that inquiry, solely to establish your connection to the request.
We will handle requests in accordance with applicable law and explain the outcome. Withdrawal does not affect processing already carried out on the basis of consent. Withdrawal or deletion may prevent us from continuing to follow up on the inquiry. If information must be retained by law, we will explain the reason and limit unnecessary further use.
